TERMS & CONDITIONS

Each tour is specifically designed to suit your exact requirements and we make every effort to ensure that everything is in place for you to enjoy every aspect of your trip. Upon accepting your booking, we will have made commitments to various travel suppliers, so your attention is drawn to our terms and conditions below, which upon completing and signing our Tour Acceptance Form, confirming in writing, or paying a deposit you will be accepting. We have made every effort to keep our terms and conditions as simple and clear as possible, outlining our commitments to you and your responsibilities to us. We strive to provide exceptional customer service and will always be available to answer any questions you may have.

 

1. Deposit and Payment Terms: 

To secure your tailored trip, a deposit is required, with the remaining balance due no later than 10 weeks before your departure date (unless stated). The specific deposit amount will be detailed in your initial quote and may vary depending on the trip and suppliers involved. For trips booked within 10 weeks of the departure date, full payment is required at the time of booking. Failure to make payments on time may result in the cancellation of your booking and the forfeiture of any payments made.

 

2. Cancellation policy:

 The cancellation policy varies by supplier, so we'll confirm the actual cancellation policy within your initial quote. The standard policy is that the deposit is non-refundable, and the payments thereafter are subject to a possible percentage penalty relating to the time of cancellation and departure date. Refund processing times may vary due to supplier policies. Refunds will be issued minus any applicable administrative fees. Green Sports Tours is not responsible for delays in refunds caused by third-party suppliers

 

Standard cancellation policy (variances will be confirmed on initial invoice)

More than 70 days to departure = 100% refund, less deposit

Upto 56 days to departure = 50% refund, less deposit

Upto 28 days to departure = 25% refund, less deposit

Within 28 days of departure = No refund 

3. Travel Insurance Requirement:

All travellers are required to have individual or group travel insurance covering medical emergencies, trip cancellations, and interruptions. Green Sports Tours is not liable for any costs arising from a lack of adequate insurance coverage.

 

4. Adult Supervision Requirement:

At least one adult needs to be present in each accommodation booked

5. Financial Protection and Legal Compliance:

We are members of VvKR and VZR Garant which means that as a small-scale Tour Operator we meet industry standard and legal requirements, and you are financially protected if our company ceases trading, or if your trip is affected by an unforeseen event and adjustments need to be made. Full T&Cs provided at the booking stage.

6VZR Garant Guarantee Scheme:

In order to meet its statutory obligation to provide a guarantee, Green Sports Tours makes use of the guarantee scheme provided by VZR Garant (www.vzr-garant.nl/en). You can check that this is the case by visiting VZR Garant’s website and verifying that the organisation is listed as a participant. VZR Garant’s guarantee applies within the limits of its Guarantee Scheme (which can be found on VZR Garant’s website). The Guarantee Scheme specifies the exact (travel) offering to which VZR Garant’s guarantee applies and what the guarantee entails. If services are not provided due to the financial insolvency of [Company name], you can contact VZR Garant, which has its offices at Torenallee 20, 5617 BC Eindhoven, Netherlands, by sending an email to info@vzr-garant.nl or calling +31 (0)85 13 07 630.

7. Liability and Travel Documentation:

Green Sports Tours’ liability is limited to the total amount paid for your tour. We are not responsible for any losses resulting from a failure to obtain appropriate travel documentation or visas.

8. Itinerary Amendments and Last-Minute Changes:

Tour arrangements are often made well in advance, and while we strive to adhere to your original itinerary, adjustments may occasionally be necessary. We will work closely with you to manage any changes, whether minor or significant. Please note that substantial changes—such as altering travel dates or adjusting the number of participants—may incur additional costs, particularly if the cancellation of group members affects the overall per-person pricing. Last-minute additions to the agreed itinerary may also result in additional charges. If Green Sports Tours must make adjustments to your itinerary, we will notify you at the earliest opportunity and present available options to best meet your needs.

9. Transportation and Driver Regulations:
All excursions and transport services are subject to drivers’ working hours as regulated under UK and European law. Any changes to the itinerary that require extended driving hours may be subject to legal limitations and could incur additional costs. We will advise you of any such limitations or costs as necessary.

 

10. Sporting Fixtures and Cancellations:

Your sporting fixtures are arranged in good faith. We will attempt to match teams of equal ability and age group based on the information provided and contact with the opposing team. However, we cannot be held responsible for any fixtures cancelled due to bad weather, teams failing to turn up or for any other unforeseeable circumstances. In the event of games being cancelled we will endeavour to arrange alternative fixtures for you.

11. Personal Liability and Behaviour:

Each participant is expected to conduct themselves responsibly. Any damage to accommodations or other facilities caused by members of your group will be billed to you directly. Green Sports Tours reserves the right to end services without refund if a participant’s behaviour disrupts the enjoyment or safety of others.

 

12. Force Majeure Clause: 

In the event of force majeure—including, but not limited to, natural disasters, pandemic, war, terrorism, or other extraordinary events beyond our control—Green Sports Tours reserves the right to cancel or alter tours. No refunds or compensation will be issued under such circumstances, although we will work with you to find alternative solutions.

13. Data Protection and Privacy Policy:

We are committed to protecting your privacy and handling your personal information in compliance with GDPR. By booking with us, you agree to our use of your information to manage your tour and share necessary details with third parties involved in delivering your tour. Our privacy policy is available on request.

14. Governing Law and Jurisdiction:

These terms and conditions are governed by and construed in accordance with the laws of the Netherlands. Any disputes arising out of or in connection with these terms shall be subject to the exclusive jurisdiction of the courts in the Netherlands.
